Job Summary:
Responsible for coordinating patient scheduling and registration activities for Diagnostic Imaging services while providing exceptional customer service. Serves as the primary point of contact for patients, referring providers, and imaging staff, ensuring accurate scheduling, proper exam preparation, and efficient patient flow throughout the department.
Job Responsibilities:
• Schedule and coordinate patient appointments for Imaging modalities including:
• Ultrasound (US)
• X-Ray (XR)
• Magnetic Resonance Imaging (MRI)
• Nuclear Medicine (NM)
• Computed Tomography (CT)
• Vascular Ultrasound
• Answer and manage high volumes of inbound and outbound telephone calls in a professional, courteous, and timely manner
• Obtain and verify patient demographic, insurance, and ordering provider information to ensure accurate appointment scheduling
• Provide patients with detailed exam preparation instructions, including fasting requirements, contrast preparation, medication guidelines, and arrival times
• Verify physician orders for completeness and accuracy and communicate with providers when clarification is needed
• Coordinate appointment scheduling based on modality-specific protocols, exam urgency, patient needs, and department availability
• Maintain knowledge of scheduling guidelines, imaging protocols, and departmental workflows
• Serve as front desk support as needed, greeting patients and visitors in a professional and welcoming manner
• Register, check in, and dispatch patients while ensuring patient confidentiality and adherence to HIPAA regulations
• Coordinate patient flow between waiting areas, technologists, nursing staff, and providers to maximize efficiency and patient satisfaction
• Communicate scheduling changes, delays, and special instructions to patients and imaging staff
• Respond to patient inquiries and resolve scheduling concerns with professionalism and empathy
• Monitor departmental work queues and address scheduling requests in a timely manner
• Collaborate with technologists, nurses, radiologists, providers, and ancillary departments to ensure smooth operations and quality patient care
• Maintain accurate documentation in the electronic medical record (EMR) and scheduling systems
• Assist with departmental administrative duties, reports, and special projects as assigned
• Adhere to organizational policies, safety standards, customer service expectations, and regulatory requirements
