Job Description
This position is part-time, 20 hours/week with flexibility on business hours. The position is hybrid - work is mostly remote, but there may be a need for some in-person for setup during events.

Required Skills, Knowledge, and Experience:

• Strong administrative support experience in a fast-paced professional environment.

• Excellent organizational and time management skills with the ability to prioritize multiple projects and deadlines.

• Exceptional attention to detail and accuracy when processing reports, maintaining records, and tracking program data.

• Experience coordinating meetings, travel arrangements, and expense reports.

• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

• Strong written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.



Program & Administrative Coordinator Job Summary:

Support designated governance and member services staff members, including entering/processing expense reports, entering meeting requests in Short’s Travel portal, and providing other administrative assistance support.

• Prepare for and support the 2026-27 programs and awards listed below, including but not limited to tracking attendance for programs and events, identifying missing nominations, and updating rosters.

o Division II Award of Excellence

o Division II FAR Institute

o Division II -Specific Apple Training Institute

o Division II Enhanced Attendance at Impact Forum and

o Professional Development Workshop for Compliance Administrators

• Manage requests for apparel, gear, gifts, and other trinkets for the NCAA Convention and other Division II programs and events, including:

o Researching items to be ordered

o Entering requisition

o Selecting items to order

o Working with purchasing and/or vendor to order items

o Tracking shipments

o Counting items when received and perform a quality check

• Process waiver case closeouts.

• Other support and meeting/travel planning for committees, programs, events, and initiatives.
