Job Description

Duration: 6+ Months, through Fall semester 2024

Description:
• Provide data entry support in spreadsheets, reports and business enterprise resource planning system (SAP).
• Contacts Vendors with open purchase orders to reschedule out and/or cancel as needed and creates nonstock purchase orders for services.
• Assists with supply chain management projects to improve overall efficiency of the department.
• Performs all operations, measures, activities and tasks as assigned by accountable management or supervisor.
• Learns and acquires respective theory and know how, techniques, methods, tools and processes, in the respective area.
• Supports other qualified staff in their tasks and accountabilities.

• Key Responsibilities: Deliver full range service in a defined administrative area of work, while clear input / output relations and generic and /or work specific guidelines, procedures are given or available
• Positions need basic level of theoretical and practical know how, skills and typically some level related years of experience, in specialized processes, techniques and systems used in office environment
• Position operates major parts or full spectrum of dedicated specialized standard software packages
• Incumbents may handle routine and non-complex practical enquiries and procedures from internal or external customers

Knowledge:
• Basic knowledge and experience of principles, procedures, work routines and skills in the related field of work, gained through structured and focused two-year vocational training period.

Responsibilities:
• Executes complex buying strategies to purchase and arrange timely deliveries of supplies and materials; expedites as needed and serves as liaison between vendors and users
• Contributes to implementation and ensure usage of globally defined methods, processes, and systems to ensure high process efficiency and process compliance (e.g., compliant Purchase-to-Pay (P2P) process, Procurement guidelines, IT systems)
• Updates project plans and purchasing systems; reviews and analyzes requisitions and supply plans for domestic and international purchases
• Defines, communicates, and tracks scheduling, risk, change, opportunities, and resource management
• Gains alignment on project prioritization and requirements
• Works with cross-functional business partners as well as Supply Chain Management (SCM) network, accounting, financial and controlling
• Track the vendor''s progress against the original and/or revised schedule, invoices reconciliation
• Responsible for effectively communicating with cross-functional team members on project status and SCM tasks
• Review and target supplier delivery improvements and late order resolution
• Leverage existing procurement processes and compliance while seeking to identify best management practices, improved procurement processes and other continual improvement initiatives to facilitate efficient processes

Required:
• Must be a current college student majoring in Supply Chain Management, Logistics, or related subject
• Typing 60-80 wpm

Preferred Knowledge/Skills, Education, and Experience:
• SAP Knowledge
• Use of Microsoft Office applications (Outlook, Teams, Excel)
• Intermediate MS Excel (VLOOKUP, Pivot tables, etc.) Knowledge
• Experience with mass data entry
• Excellent verbal and written communication skills
• Demonstrate success in applying complex knowledge of fundamental concepts, practices, and procedures of particular area of specialization
• Demonstrated knowledge of organization''s business practices and issues
• Excellent customer service skills
• Ability to work in a team-oriented environment while maintaining an individual workload
