The Executive Recruiting Coordinator is a critical member of the Executive Talent Acquisition team, responsible for delivering a world class experience for senior level candidates and business leaders. This role manages all logistics for executive interviews, including complex scheduling, candidate travel, onsite hosting, and detailed preparation of interview materials. The ideal candidate demonstrates exceptional professionalism, strong judgment, advanced communication skills, and mastery of calendar and administrative workflows in a fast-paced environment.



Key Responsibilities:

Executive Interview Coordination

•Coordinate complex, multi stakeholder interview schedules across multiple time zones with accuracy and discretion.

•Create detailed interview agendas and prepare complete executive interview packets.

•Manage the full candidate coordination lifecycle with timely communication.

•Maintain accurate candidate information and status updates in the ATS.

•Candidate Experience and Onsite Support

•Serve as primary point of contact ensuring a professional, confidential experience.

•Escort and host executive candidates onsite and manage interview day flow.

•Coordinate facility tours, business meals, and stakeholder meetings.

•Travel Coordination and Logistics

•Arrange travel including flights, hotels, transportation, and itineraries.

•Manage changes, delays, and rescheduling with urgency.

•Process travel expense reimbursements with accuracy and compliance.

•Operational Excellence and Administrative Support

•Partner with executive assistants and leaders to manage complex schedules.

•Support assessments, background checks, and required documentation.

•Maintain reports, dashboards, and trackers supporting hiring metrics.



Required Qualifications:

•Advanced proficiency in Microsoft Outlook and calendar management.

•Advanced proficiency with Microsoft Office Suite.

•Excellent written and verbal communication skills.

•Strong organization, attention to detail, and ability to manage multiple priorities.

•Previous senior level administrative or coordination experience.

•Ability to handle confidential information professionally.



Preferred:

•Experience supporting executive recruiting.

•Familiarity with ATS systems.

•Experience coordinating travel or working with travel vendors.
