Required Qualifications

• Minimum 2 years of receptionist, front desk, or customer-facing administrative experience

• Proficiency in Microsoft Office 365, including:

o Microsoft Teams

o Microsoft Word

o Microsoft Excel (basic)

o Microsoft PowerPoint

• Strong verbal and written communication skills

• Professional demeanor and excellent customer service skills

• Ability to interact effectively with clients, visitors, management, and staff

• Strong organizational and multitasking abilities

• Ability to work independently and take initiative

• Comfortable working in a fast-paced professional office environment

• Ability to successfully complete required fingerprinting and background screening



Preferred Qualifications

• Experience supporting financial services, insurance, or professional office environments

• Experience coordinating meetings, conference rooms, and office events

• Experience providing administrative and office support



Job Overview

The Receptionist serves as the first point of contact for clients, agents, field management, and visitors. This individual is responsible for creating a positive and professional first impression while managing front desk operations, coordinating office activities, and supporting day-to-day administrative functions.

The ideal candidate is polished, highly organized, customer-focused, and capable of managing multiple priorities in a fast-paced office environment. Strong communication skills, professionalism, and attention to detail are essential for success in this role.





Job Duties

Front Desk Operations

• Greet and assist clients, agents, visitors, and field management personnel

• Maintain a professional and welcoming reception area

• Serve as the primary point of contact for office visitors

• Manage visitor sign-in and guest access procedures



Customer Service & Communications

• Answer incoming phone calls and direct inquiries appropriately

• Respond to emails and communications professionally and promptly

• Provide outstanding customer service to internal and external customers

• Maintain ongoing communication with leadership and staff through Microsoft Teams



Meeting & Conference Coordination

• Schedule and reserve conference rooms

• Coordinate meeting logistics and room availability

• Assist with meeting preparation and setup

• Support internal and external meetings as needed



Administrative Support

• Provide general administrative support to the office

• Assist with ad hoc projects and office-related tasks

• Support document preparation, printing, and distribution

• Maintain office records and administrative files as needed



Event & Office Support

• Assist with event logistics and coordination

• Coordinate catering and guest accommodations

• Support room setup and breakdown for meetings and events

• Ensure office facilities remain organized and professional



Technology & Facilities Assistance

• Provide basic troubleshooting support for office-related issues

• Coordinate with technical support resources regarding Wi-Fi or technology concerns

• Assist staff with office equipment and conference room technology when needed
