Required Qualifications / Skills / Experience
• Minimum 2 years of receptionist, administrative support, customer service, or office coordination experience
• Previous receptionist or front desk experience
• Experience working in a professional office environment
• Strong verbal and written communication skills
• Professional appearance and customer-focused attitude
• Basic computer proficiency including Microsoft Office, email, and web-based applications
• Proficiency with Microsoft Office Suite
• Ability to use Microsoft Teams, Zoom, and other communication tools

Preferred Qualifications / Skills / Experience
• Insurance/Financial industry experience (Highly preferred)
• Retail, hospitality, or other customer-facing experience

Front Desk Receptionist / Office Coordinator Overview
• Serve as the first point of contact for clients, visitors, and employees in a professional office environment
• Provide exceptional customer service while supporting front desk operations and daily administrative functions
• Manage incoming communications including phone calls, emails, deliveries, and visitor inquiries
• Coordinate conference room scheduling and meeting logistics to support business operations
• Assist with office administration, documentation, filing, reporting, and data entry activities
• Support onsite leadership and employees with operational and administrative needs
• Help maintain a welcoming, organized, and professional office environment
• Utilize Microsoft Office Suite, Microsoft Teams, Zoom, and web-based applications to support daily activities
• Coordinate facility-related requests and assist with basic office troubleshooting
• Handle multiple priorities while maintaining professionalism, organization, and attention to detail
• Build positive relationships with visitors, clients, vendors, and internal stakeholders
• Work independently while remaining responsive to business needs and office operations
• Support mail distribution, shipping, deliveries, and office coordination functions
• Demonstrate strong communication, customer service, and problem-solving abilities in a fast-paced office environment
• Ensure consistent front desk coverage during scheduled business hours

Job Duties
• Greet and welcome clients, visitors, and employees professionally
• Answer, screen, and direct incoming phone calls
• Respond to general inquiries and provide information as needed
• Maintain front desk coverage throughout business hours
• Support daily office operations and administrative functions
• Sort, distribute, and prepare incoming and outgoing mail
• Coordinate deliveries and shipments
• Assist with accounts payable and accounts receivable administrative requests
• Prepare and maintain office documentation
• Schedule conference rooms and support meeting preparation
• Coordinate facility-related requests and maintenance needs
• Perform basic office troubleshooting and support
• Complete data entry, filing, reporting, and administrative tasks
• Support onsite leadership and team members with additional projects and assignments
