Job Description
Education:
• High School Diploma or equivalent

Required Qualifications
• High School Diploma or GED required
• 2+ years of customer service and/or clerical experience
• 1+ year of experience coordinating travel arrangements, lunch orders, RSVPs, and mail distribution
• 1+ year of office management experience including office organization, supplies management, and facility upkeep
• Strong knowledge of customer service principles and practices
• Good verbal and written communication skills
• Bilingual in Spanish required
• Ability to multitask and prioritize responsibilities effectively
• Ability to lift up to 30 lbs.

Preferred Qualifications
• 1+ year of experience using Microsoft Office applications including Excel and Word
• 2+ years of call center, front desk, or receptionist experience

Job Summary:
We are seeking a reliable and organized Administrative Assistant / Office Coordinator to support daily office operations and provide administrative support to leadership and staff. This role is ideal for someone with strong customer service skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities
• Answer and direct incoming telephone calls professionally and efficiently
• Perform typing and word processing of documents and correspondence
• Maintain calendars, schedule meetings, and coordinate travel arrangements
• Manage copying, faxing, filing, and general office administrative tasks
• Greet visitors and provide excellent customer service
• Track expenses, attendance, and maintain organized records and files
• Coordinate building and equipment maintenance requests
• Set up and tear down events hosted at the center
• Manage office operations including opening/closing procedures, office supplies, printer checks, organization, and cleanliness
• Coordinate lunch orders, RSVPs, mail sorting, and mail delivery
• Provide support to executives at the Senior Leadership Team (SLT) level and below
• Assist with additional clerical and administrative duties as needed

Additional Information
• Moderate work experience within administrative or clerical functions preferred
• Some responsibilities may require working independently without established procedures
• Basic tasks can be completed independently, while higher-level tasks may require guidance or supervision
