Job Description

Preferred Education:
• Bachelor’s degree from an accredited university is required. Equivalent professional experience with strong references may be considered in lieu of a degree.

Required Skills, Experience, & Abilities:
• 3–5 years of experience in Program Management, Project Management, HR, Executive Assistant, or Chief of Staff role within a fast-paced corporate environment.
• Proven track record of managing large-scale organizational operations.
• Experience managing headcount or departmental expenditure budgets.
• Using data to tell a story.
• Ability to work onsite in the Dallas, TX office.
• Ability to lead campus tours and handle light physical tasks, including lifting or moving materials for events/asset coordination.
• Executive Support Experience: Prior experience supporting executives or large-scale organizational operations is essential.
• Project & Program Mastery: Proven ability to manage multiple workstreams simultaneously with a methodical, "no-task-too-small" approach.
• Technical Proficiency: Advanced skills in Microsoft Excel (pivot tables, data tracking) and PowerPoint (design and storytelling).
• QuickBase: Proficient in using QuickBase to manage headcount requests and workflows.
• Interpersonal Excellence: Exceptional communication skills with the ability to influence partners and navigate complex team dynamics. Working cross-functionally with other departments is essential.
• Thriving in Ambiguity: You remain calm, effective, and deliver results in a fast-paced, "gray" environments where priorities may shift rapidly.
• Process Improvement: A demonstrated history of identifying operational bottlenecks and implementing solutions.

Role:
We are seeking a highly organized, dependable, and solutions-oriented People Operations Coordinator. This role is the engine of our team, bridging the gap between high-level project management and the critical day-to-day details of employee experience. You will act as a central hub, working cross-functionally to ensure our internal programs run seamlessly and our leadership is supported with precision.

Key Responsibilities
Program & Talent Experience Management
• End-to-End Onboarding: Own the "New to Digital Experience" from start to finish, ensuring every new team member feels welcomed from day one and integrated into the Digital culture.
• Recruitment Support: Manage complex interview scheduling and facilitate seamless transitions between candidates and hiring teams.
• Logistics & Assets: Lead asset coordination, campus tours, and employee experiences, ensuring all physical and digital resources are ready for day one.
• Cross-Functional Partnership: Act as a primary liaison between Talent Acquisition, People Success Team, HR, Marketing, and Hiring Managers to support and align to operational goals.

Project Management
• Headcount Management: Manage and track organizational headcount across multiple Digital teams from end-to-end, ensuring data integrity and alignment with individual leadership budget.
• Executive Communications: Assist in the creation of high-impact leadership materials, including executive PowerPoint presentations, workback plans, and internal communications.

Employee Engagement & Leadership Support
• Event Execution: Support the planning and execution of large-scale organizational engagement events to foster team culture.
• Operational Support: Provide light administrative support and assist in the broad operations of a large digital organization.
