Job Description


Required Education:

• High School Diploma or equivalent required.



Preferred Education:

• Associate degree or higher preferred.



Required Experience/Skills:

• Experience supporting project-related teams in the construction or building maintenance industry.

• Proficient with Microsoft Office Suite, Windows environment, and email applications.

• Strong interpersonal and communication skills with internal and external stakeholders.



Preferred Experience/Skills:

• Experience working with government contracts.

• Experience managing construction documentation, including RFIs, RFPs, and submittals.

• Proficiency with Microsoft Project.

• Advanced Microsoft Excel and PowerPoint skills.

• Knowledge of project accounting and cost tracking systems.

• Ability to prioritize work activities based on financial impact and business objectives.



Construction Project Coordinator Job Duties:

• Support project business activities including RFIs, RFPs, submittals, subcontract processing, project documentation, cost tracking, and customer invoicing.

• Complete project and sales-related administrative tasks to ensure customer expectations and project financial commitments are met.

• Support new contracts and manage changes to maintenance, service, retrofit, PSA contracts, labor and material tickets, and service order tickets.

• Assist with subcontract processing, including generating subcontracts, collecting required documentation, and managing subcontractor invoices.

• Maintain project documentation files, including customer communications, proposals, submittals, and subcontract documents.

• Complete project closeout activities, including as-built documentation, final invoicing, warranty letters, project books, and training documentation.

• Prepare submittal packages for technicians, engineers, and customers, including network flow diagrams, room schedules, and bills of materials.

• Assist with procurement activities by ordering and tracking project materials using electronic purchasing systems.

• Enter and maintain project schedules, contract costs, and re-estimates within project tracking systems.

• Support safety program administration, including training verification, reporting, and safety equipment coordination.

• Perform additional administrative and project support duties as needed.
