Required Skills & Experience:
• Demonstrated project coordination experience (managing timelines, stakeholders, action tracking, and follow-through)
• Event planning and on-site execution experience (logistics, vendors, volunteers, run-of-show)
• Fundraising, sponsorship, sales, or relationship management experience, with comfort making asks and stewarding partners
• Strong written and verbal communication skills; ability to represent the organization professionally with external partners
• Comfort using collaboration tools (Teams/Outlook), tracking tools (spreadsheets/task sheets), and CRM systems (e.g., Team Raiser)
• High attention to detail and ability to manage basic financial administration (donation documentation, expense tracking)
• Ability to work flexible hours, including evenings/weekends as required by events and open houses
• 3 -5+ years’ experience

This role is responsible for supporting the successful execution of the Indiana Showplace campaign across multiple markets by coordinating events, managing stakeholder relationships, and driving local fundraising and marketing efforts. Serving as the primary on-the-ground point of contact, the position ensures consistent communication, effective partner stewardship, and seamless execution of campaign activities. The role blends project coordination, event planning, and relationship management to deliver high-quality experiences and achieve campaign goals.

Job Responsibilities:
• Up-to-date campaign Master Task Sheet status for all assigned tasks across the three markets, including owners, due dates, and weekly progress notes
• Meeting notes and action logs from builder/campaign and internal coordination calls, with follow-ups completed or escalated
• Event plans and run-of-show materials for core Showplace milestones, including logistics checklists and volunteer plans
• Sponsor pipeline updates and stewardship touchpoints (outreach tracker, confirmed sponsor list, recognition/fulfillment status)
• Donation entry completion and documentation aligned to internal process, with timely handoff for reconciliation
• Local marketing coordination outputs (drafted updates, media tracking, promotional calendar inputs)
• Travel: Local/regional travel within Indiana expected for site visits, partner meetings, and events; mileage/expenses handled per policy

Relationship Management and Stewardship
• Serve as the consistent local point of contact for Indiana Showplace partners (builders, HBA/BIA leaders, sponsors, donors, volunteers, media, realtors, prize sponsors), ensuring responsiveness, continuity, and stewardship across Valparaiso, Indianapolis, and Fort Wayne areas
• Focus on recruitment, relationship development, and appreciation

Campaign Execution and Coordination
• Drive campaign execution and coordination
• Attend and contribute to bi-weekly builder and campaign calls
• Assist in coordinating internal campaign calls with the Dream Home Advisor
• Track actions, capture notes, and ensure follow-up on assigned deliverables

Event Planning (Core Showplace Events)
• Plan, manage, and attend key events including: Groundbreaking, Bricks and Sticks, Floor Signing, Sneak Peek, Open Houses, Big Check Presentation, and “Thank You” events
• Support campaign marketing and local promotion efforts

Local Fundraising and Events
• Design and support local fundraising events with builders and HBAs
• Recruit and steward event sponsors
•Coordinate logistics and local execution of events and open houses
• Manage donation collection and entry into TeamRaiser
• Coordinate open house experiences, manage volunteers, and donor appreciation efforts
• Support local marketing and promotion in coordination with internal stakeholders:
• Contribute to local marketing plans
• Assist with newsletters and organic social
• Support local media outreach and relationship coordination

Management and Administration
• Complete assigned tasks within the campaign Master Task Sheet
• Track actions, expenses, and in-market spend
• Manage campaign-related monetary donations and expense tracking
• Partner with the Dream Home Advisor on post-event financial reconciliation and budget completion
• Assist with local marketing plans in coordination with internal stakeholders
• Support local media outreach, newsletters, and organic social media
• Serve as on-the-ground liaison for local promotional efforts
