• Bachelor’s degree in Business Administration, Supply Chain Management, Operations Management, Logistics, or related discipline

Required Experience
• 2+ years of experience in production coordination, order management, supply chain, logistics, inventory control, or operations support
• Experience tracking purchase orders (POs), shipments, inventory, and production schedules
• Experience maintaining records and updating data within ERP systems
• Experience coordinating with vendors, factories, 3PL providers, finance, and internal stakeholders
• Experience managing shipment documentation, invoices, and delivery tracking

Preferred Experience
• Experience working with Navision (Microsoft Dynamics) or similar ERP platforms
• Experience supporting retail production operations and managing retailer purchase orders
• Experience in consumer products, apparel, accessories, or retail manufacturing environments
• Experience with invoice processing, vendor payments, and billing coordination

Required Skills
• Strong Microsoft Excel skills, including VLOOKUPs, Pivot Tables, sorting, filtering, and reporting
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Strong attention to detail and organizational skills
• Ability to manage multiple priorities in a fast-paced environment
• Excellent written and verbal communication skills
• Strong problem-solving and follow-up skills
• Ability to maintain accurate records and documentation
• Cross-functional collaboration and stakeholder management skills

Preferred Skills
• Experience with Navision (Microsoft Dynamics ERP)
• Knowledge of production planning, inventory management, and supply chain processes
• Familiarity with ASN (Advanced Shipping Notice) procedures
• Experience with Adobe products
• Dashboard reporting and KPI tracking experience
• Understanding of retailer compliance and fulfillment requirements

Key Responsibilities
• Manage and track retailer purchase orders, with primary focus on Hot Topic, Torrid, and BoxLunch
• Monitor production status, work-in-progress (WIP), and in-transit shipments to ensure on-time delivery
• Maintain accurate product, SKU, purchase order, and shipment information in Navision ERP and shared databases
• Create and update product setup pages, SKUs, and purchase orders within the ERP system
• Oversee inbound and outbound shipments, ensuring accurate documentation and tracking visibility
• Perform goods receipt transactions and maintain shipment logs and dashboards
• Verify packing lists, invoices, and shipment documentation for accuracy
• Coordinate with vendors, factories, logistics providers, and internal teams to resolve delivery, shortage, damage, or specification issues
• Ensure compliance with ASN protocols and maintain shipment visibility across stakeholders
• Process invoices, coding, billing, and vendor payment coordination with Finance
• Track and maintain records of pre-production samples and stock deliveries
• Support Production Manager with order tracking, vendor follow-up, and production-related activities
• Generate reports and provide administrative support for production and order management functions
• Monitor KPIs including On-Time Delivery (OTD) and production cycle time performance
• Contribute to process improvements and support overall team efficiency and workflow initiatives.
