Job Description
**Schedule: 20 hours per week, Monday through Friday, 7:00 AM to 11:00 AM, with every other Friday off under a 9/80 work schedule. Overtime opportunities may be available to support evening events and receptions.**

Required Education

• 1-2 years of experience in hospitality, events, customer service, facilities support, or a related field
• Excellent communication and customer service skills
• Strong attention to detail and organizational skills
• Ability to manage multiple tasks and priorities simultaneously
• Ability to work independently and collaboratively within a team environment
• Ability to lift up to 25 pounds
• Ability to stand and walk for extended periods
• Reliable attendance and punctuality
• Ability to support event setup and hospitality services in a fast-paced environment

Job Summary
The Conference Support Specialist provides hospitality, catering, and meeting support services to ensure a professional and welcoming experience for employees, customers, and visitors. This role is responsible for conference room setup, catering coordination, beverage service, inventory management, and maintaining clean and organized event spaces. The ideal candidate is dependable, detail-oriented, and service-focused, with the ability to adapt to changing priorities and support multiple events throughout the workday. This position plays a critical role in the successful execution of meetings, conferences, and special events.

Job Duties
• Catering Support
• Receive catering deliveries and transport them from the lobby to meeting locations
• Set up food and beverage service for meetings and working meals
• Coordinate and oversee catering setup for large events with 75+ attendees
• Assist with event breakdown and cleanup following meals and events
• Support breakfast, lunch, and occasional evening event functions
• Beverage Service
• Prepare and maintain coffee service in designated common areas
• Brew and replenish coffee as needed
• Set up hot water service for tea
• Prepare and replenish ice water stations
• Monitor beverage stations throughout events and meetings
• Conference Room Setup
• Set up conference rooms and meeting spaces to meet event specifications
• Arrange tables, chairs, lecterns, registration areas, and presentation spaces
• Configure modular meeting spaces for training sessions, conferences, and customer meetings
• Support events accommodating up to 200 attendees
• Inventory Management
• Monitor inventory levels for beverage and hospitality supplies
• Maintain accurate inventory records
• Notify appropriate personnel when supplies require replenishment
• Ensure supplies are organized and readily available
• Facility Support
• Maintain clean, organized kitchens, storage rooms, and meeting spaces
• Assist with room resets following meetings and events
• Ensure hospitality equipment and work areas remain presentable and professional

Communication
• Participate in daily planning and coordination meetings
• Communicate event setup requirements and changes effectively
• Collaborate with internal teams to ensure successful event execution
