Job Title: Promotional Materials Approval Process Specialist I

Description:

NOTE: This position is NOT in the marketing department.

• The Promotional Materials Approval Process Specialist should have a background in a high-volume, deadline oriented project management environment (e.g., scheduling a high volume of materials/jobs for weekly review by cross-functional team members using an electronic review and document tracking tool, developing meeting agendas for material review, and meeting facilitation (e.g., effective management of time and attendees, promotes a positive problem solving environment, and clear and concise documentation of outcomes using an electronic review and approval software system and a software such as Skype or WebEx to display the system to off-site attendees) and general knowledge of the review and approval process for promotional material or similar materials requiring tracking of changes and implementation of changes).
• The Promotional Materials Approval Process Specialist will collaborate with cross-functional team members to set prioritization of review to manage review priorities against business needs, assist in triage of materials for appropriate review and provides guidance on submission readiness.
• The Promotional Materials Approval Process Specialist assists in acting as a centralized knowledge hub for material approval and provides guidance to project owners/agencies/reviewer on the process to streamline material review.
• Tracks all submissions to ensure task completion to enable monthly reporting (metrics) to senior management.
• Assists in identifying team/process/system issues and assists team to address collaboratively, recommending systemic process improvements.
• Assists with special projects as needed (e.g. development of MAP training guidance and reference materials).
• Remain current on all compliance requirements and processes as they pertain to promotional practices and guidelines established by the corporation.
• Fluent in English with strong verbal and written communication skills Experience with promotional material development or the review and approval processes for promotional materials, or similar environment involving direct responsibility for review, tracking revisions and archiving complex advertising materials High learning agility demonstrated in a multi-disciplinary fast-paced business environment High diplomacy and tact
