Job Description
Required Education:
• High School Diploma or equivalent required
Required Experience and Skills:
• Minimum of 1 year of experience working with imaging and indexing systems
• Previous experience in an office or administrative environment
• Proficiency in Microsoft Office applications, including Outlook
• Strong verbal and written communication skills
• Data entry and keyboarding proficiency
• Experience handling confidential and sensitive information with a high degree of accuracy and professionalism
• Strong organizational skills with the ability to prioritize multiple tasks in a high-volume, deadline-driven environment
• Excellent attention to detail and accuracy
• Strong analytical and problem-solving abilities
• Ability to learn new processes and systems quickly
• Ability to work independently and collaboratively in a team environment
• Ability to meet physical requirements of the role, including standing for approximately 3–4 hours per shift and lifting up to 20 pounds
Preferred Experience and Skills:
• Experience operating mailing equipment, including folder inserters and postage meters
• Experience with mail sorting, scanning, indexing, and document processing
• Experience working in mailroom, document imaging, fulfillment, or records management environments
Job Duties:
• Manage the accurate and efficient processing of incoming and outgoing advisor and business mail for the U.S. Division Mail Services operation
• Receive, open (when applicable), sort, prepare, scan, index, and distribute incoming mail to the appropriate business units
• Process outgoing mail and courier shipments through the Fulfillment Center, ensuring timely and accurate delivery
• Handle document imaging, scanning, indexing, and electronic record management activities in accordance with established procedures
• Maintain quality standards and meet established service-level agreements and operational performance metrics
• Troubleshoot mail processing issues and resolve exceptions requiring advanced knowledge and judgment
• Process inbound bulk mail, maintain workflow statistics, and support daily production requirements
• Provide high-quality customer service and operational support to internal business units and administrative teams
• Safeguard sensitive and confidential information, including personally identifiable information (PII), while adhering to company policies and procedures
• Support continuous workflow efficiency and operational improvement initiatives
• Train and onboard new team members on imaging, fulfillment, and mail processing procedures
• Cross-train and provide support across multiple operational functions, including Statement Processing, Imaging, and Fulfillment
• Maintain compliance with workplace policies, security requirements, and operational standards
