Job Description

Seeking experienced front office receptionist. Must be professional, communicate in English written and verbally and ability to communicate professionally. Must be fluent with Microsoft Office Suites

Duties:
• Answering phone calls using digital switchboard on computer and transferring calls
• Answering and responding to emails
• Scheduling conference rooms using room reservation software
• Directing guests/clients to conference rooms and providing directions around the office
• Recording and reporting daily data to the site manager
• Entering guest/client information into the security system so they can enter the office space
• Maintaining the appearance of the reception area
• Submitting maintenance facility requests to property management
• There is no extensive lifting, walking or standing.
• It is mostly a sedentary position but must be able to lift copy paper and walk about the office on own accord.
• The reception position is within a law firm environment and since this is a client facing position, appearance and professionalism is utmost important.
• The candidate must be comfortable using a Windows operating system, web browser, and Microsoft Office

Dress Code:
• Business Casual
o When guests/clients are in the office, the receptionist should appear professional. However, on days when there are no guests in the office, business casual is acceptable.
• Some examples of acceptable attire include:
o Collared shirts
o Blouses
o Sweater/cardigans, blazers, jackets, vests
o Jeans, as long as they are not holey, tattered or frayed
o Skirts, skorts and dresses of appropriate length
o Loafers, flats, pumps, dress sandals, dress sneakers
• Some examples of unacceptable attire include:
o Short dresses or skirts
o Tank tops, halter or strapless tops
o T-shirts, sweat suits, sweat pants, sweat shirts, exercise clothing, warm-up suits
o Flip-flops

Typically Required:
• High school diploma required.
• Two years of related business experience preferred, strong preference for Admin experience particularly in a law firm/legal environment.
• Associate Degree or Bachelor’s degree preferred.
• MS Office Suite experience, specifically Word, Excel and Power Point.
• Excellent customer service skills and detail oriented.
• Ability to handle multiple tasks simultaneously.
• Demonstrated organizational and communications skills.
• Proactive attitude.
