Job Description
Key Responsibilities:

• Support the legal team by managing a significant increase in communications from advocates and legal organizations, helping reduce administrative workload and allowing attorneys to focus on higher-value legal work.

• Serve as a key point of contact for legal disputes, program concerns, and applicant/member inquiries, ensuring timely and accurate routing to the appropriate business teams.

• Monitor and manage a high-volume shared inbox by prioritizing, categorizing, routing, archiving, and reopening email threads as needed to maintain efficient workflow.

• Apply internal tracking methods, including color-coded tags, to organize communications, support reporting, and minimize the risk of missed or delayed requests.

• Prepare weekly meeting agendas, twice-weekly status reports, and maintain tracking spreadsheets to support General Counsel meetings and ongoing case management.

• Conduct monthly audits of archived emails to ensure accurate categorization, proper documentation, and compliance with internal procedures.

• Maintain and update centralized tracking logs for matters initiated through the shared inbox.

• Provide legal administrative support, including calendar management, document review assistance, answering phone calls, meeting coordination, and note-taking.

• Collaborate with attorneys and internal stakeholders to improve operational efficiency and ensure timely resolution of legal and administrative matters.

• Handle confidential information with professionalism while maintaining accurate records and supporting effective legal operations.



Job Overview:

Seeking a Legal Administrative Assistant to provide essential administrative support to attorneys and legal staff. This position plays a key role in managing legal communications, coordinating reporting activities, maintaining organized records, and supporting daily legal operations. As part of a collaborative legal team, you will help ensure that inquiries from advocates, legal organizations, and internal stakeholders are tracked, routed, and resolved efficiently while supporting attorneys in delivering high-quality legal services.
