Description:

Provides centralized Human Resources services to ensure the efficiency of departmental operations, technology and transaction processes. Serves as office coordinator for the Human Resources Department and also plans and facilitates activities that span across multiple functional areas of the company. Delivers excellent customer service; interacts with all levels of employees via in-person, phone and email communication. Generates reports, assists in the completion of presentations and special projects required of the department and solves problems as needed. All while frequently acting independently in decision-making.

Job Duties:
Provides support for critical Human Resource administrative functions to include, but not limited to:
• Performs customer service functions by responding to requests and questions from employees and guests. Managing phone calls and emails as appropriate. Processes employee information changes and updates in the HRIS system.
• Records management - creation, maintenance, removal and archiving of employee files. These include new hire folders, general personal folders, medical, benefits, and I-9 forms.
• Reproduces and/or retrieves records from archived storage in response to claims and litigation requests.
• Sets up payment for vendors for HR Coordinator related purchases in SAP.
• Maintains contractor removal and end date parking in SAP.
• Executes employee verification requests and manages any returned mail.
• Works with HRIS to provide updates to the HR pages of Inside Track. Including forms, policies changes, and other information.
• Issues, deactivates, and reactivates identification badges, maintains access database, monthly access reporting, and activity reports as requested in Genetec.
• Assists in the coordination and scheduling of new hire onboarding with Training and Talent Acquisition functions.
• Manages and tracks the Client Education Assistance Program.
• Executes the management of the Rosetta Stone Spanish language learning program.
• Works with Organizational Development to support class logistics in PeopleStation Learning.
• Manages retirement awards program (retirement trains). Identifies upcoming retirees, procures and maintains appropriate stock levels to meet demands. Orders personalized nameplates and coordinates delivery of awards to recipients.
• Maintains employee and company-paid parking database; assigns, suspends, deactivates parking access. Reconciles monthly invoices.
• Assists with the employee termination process; including, exit interviews and documentation.
• Orders and tracks Human Resources forms, office supplies and maintains appropriate levels of stock in accordance with budgetary limits.
• Provides the ability to create shipping labels in UPS.
• Assists with company and other HR sponsored events as required to include, but not limited to, benefit related activities and catering needs for HR meetings.
• Supports other HR projects and processes and needs arise.
• Exemplifies Client Vision, Values, and Culture in each and every interaction with team, clients, and stakeholders.
Skills:
Preferred Requirements
• Human Resources experience.
• Demonstrated ability to prioritize based on changing needs. Must be able to handle multiple responsibilities.
• Strong interpersonal skills and customer focus, with ability to work well with all levels of the organization.
• Keyboard and data entry skills with strong attention to detail and high degree of accuracy.
• Proficient computer skills with intermediate knowledge of and ability to use Microsoft Office Suite, including creating Excel spreadsheets, and use of vlookup and pivot table features.
• Experience with other software applications such as SharePoint, ColorBar, SAP and Concur are also beneficial.
• Ability to take initiative, work independently, and exhibit strict confidentiality as necessary.
• Demonstrated sense of urgency and consistent follow-through.
• Ability to build inter-departmental relationships to improve processes.

Working Conditions:
• This position has a regular full time schedule with a normal work week of Monday through Friday. There may be a need for occasional work after hours or weekends.
• This position may require minimal travel up to 10% of the time.

Education:
• High School diploma or equivalent
• Minimum two (2) years of relevant professional experience, preferably in an administrative, or Human Resources position, or equivalent combination of education and experience
