Job Description
Education:

• High School Diploma or GED required.

• Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred.



Requirements:

• Minimum 8-10 years of executive receptionist, executive assistant, or administrative support experience.

• Experience supporting senior executives and/or C-Suite leaders within a large corporate environment.

• Strong understanding of professional corporate office etiquette and executive-level interactions.

• Excellent organizational, prioritization, and multitasking abilities.

• Strong verbal and written communication skills.

• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).

• Experience with visitor management and access control systems.

• Ability to maintain strict confidentiality and handle highly sensitive information.

• Professional demeanor, executive presence, and polished appearance.

• Ability to work independently and effectively under pressure in a fast-paced environment.

• Willingness to learn and leverage AI tools, including Microsoft Copilot.

• Ability to adapt to changing priorities and support multiple stakeholders simultaneously.



Preferred Qualifications:

• Experience supporting C-Suite executives within the Oil & Gas industry.

• Experience working on executive or secured floors with enhanced security protocols.

• Demonstrated experience coordinating executive events, board meetings, and VIP visits.

• Proficiency with Microsoft Copilot or other AI-enabled workplace productivity tools.

• Strong leadership presence with the ability to influence and promote digital transformation initiatives.

• Experience managing executive communications and interacting with senior business leaders.

• Knowledge of conference room technology and AV equipment troubleshooting.

• Experience coordinating with external vendors, facilities teams, and security personnel.



Position Summary

• We are seeking a highly professional Executive Receptionist / Administrative Coordinator to support executive leadership and oversee daily operations for a prominent executive floor.

• This individual will serve as the first point of contact for executives, business partners, and visitors while ensuring efficient administrative support, security compliance, and exceptional service.

• The ideal candidate will have significant experience supporting C-Suite executives within a large corporate environment and excel at maintaining professionalism, confidentiality, and operational excellence.



Key Responsibilities:

• Manage conference room scheduling, bookings, and overall floor activities.

• Control access to the secured executive floor and oversee visitor management processes.

• Operate in accordance with enhanced floor security protocols and corporate security requirements.

• Greet and assist executive visitors, clients, and business partners with a high level of professionalism.

• Maintain executive common areas, conference rooms, kitchens, and refrigerators to ensure readiness for meetings and events.

• Coordinate incoming and outgoing mail, deliveries, and courier services.

• Submit and track floor maintenance and facilities requests.

• Maintain and update the Level 49 floor plan and related administrative records.

• Manage and maintain the executive floor distribution list.

• Provide administrative support and relief coverage for executive assistants, including priority support for the Upstream President and DM&C President offices.

• Coordinate high-level meetings, executive events, and catered functions.

• Liaise with vendors, including catering, maintenance, and facilities providers.

• Assist with executive floor communications and operational initiatives.

• Perform additional administrative and special project duties as assigned.



Additional Responsibilities:

• Support emergency preparedness activities, including building safety drills and incident response coordination.

• Provide basic troubleshooting and support for conference room audiovisual (AV) equipment and meeting technology.

• Coordinate with facilities, security, and maintenance teams to ensure a seamless executive floor experience.

• Promote and support digital tools and technology adoption, including AI-powered solutions such as Microsoft Copilot.
