We are seeking an experienced Executive Assistant to provide high-level administrative support to the Divisional Vice President of US Commercial Operations, General Manager, US, and Director of Business Excellence. This role is ideal for an organized, proactive professional who thrives in a fast-paced corporate environment and enjoys partnering with senior leaders to keep business operations running smoothly.
Key Responsibilities
• Provide executive administrative support to three senior leaders.
• Manage complex calendars, meetings, and scheduling across multiple time zones.
• Coordinate domestic and international travel, including expense reporting and reimbursements.
• Prepare executive presentations, reports, correspondence, and meeting materials.
• Organize leadership meetings, conference calls, and virtual meetings.
• Process invoices, purchase orders, approvals, and payment tracking.
• Assist with administrative compliance activities and maintain confidential business records.
• Maintain organizational charts, fleet reporting, and executive documentation.
• Organize digital files using Microsoft Teams and SharePoint.
• Support additional executive projects and operational initiatives as needed.
