Job Description
Required Qualifications / Skills / Experience:
• Data entry experience
• Customer service and communication skills
• Ability to respond to emails and route inquiries appropriately
• Ability to answer phones and take messages
• Experience maintaining spreadsheets
• Ability to perform administrative and clerical duties
Preferred Qualifications / Skills / Experience:
• Basic experience with Microsoft Outlook
• Experience with JIRA
• Basic experience with Microsoft Excel
• Experience processing invoices and payment documentation
• Vendor communication experience
Job Overview:
The Administrative Assistant provides administrative support by managing email correspondence, assisting with work order coordination, maintaining spreadsheets, processing invoices, and supporting vendor communications. The role requires strong organizational skills, attention to detail, and the ability to handle multiple administrative tasks while supporting day-to-day business operations.
Job Duties:
• Review shared email inboxes
• Respond to basic requests and forward emails to appropriate individuals
• Help facilitate work orders in JIRA
• Answer phones and take messages
• Process invoices, including completing payment forms, scanning documents, and sending payments via email
• Perform data entry activities
• Update lease site spreadsheets
• Maintain AED device spreadsheets
• Communicate with vendors by phone and email regarding billing inquiries and quotes for work or products
