• 3+ years of related experience and a BS or BA degree
• Experience with congress, event or project coordination, and a willingness to learn new tools and systems.
• Strong organizational and project management skills, with an eye for process improvement.

Preferred Skills:
• Experience in biotech or pharmaceuticals industry preferred.

Preferred Certification:
• Certified Meeting Professional (CMP), Certified Tradeshow Marketer (CTSM) or equivalent certification is preferred.
Summary:
• The Conference Event Planner II will bring congress planning experience to the team and support the successful execution of U.S.-based congresses and related meetings.
• This role is designed for someone who can independently manage core planning activities for smaller congresses and provide planning support on larger, more complex meetings, including timelines, registration, budget tracking, purchase orders, vendor coordination, and onsite readiness.
• In addition to supporting execution, this role will help capture best practices, strengthen planning consistency across the team, and build broader capability over time while meeting immediate business needs.
Responsibilities:
• Lead and coordinate planning efforts for Tier 2/3 & regional congresses by partnering with planners, business partners, and vendors to ensure smooth execution and alignment with team goals
• Partner with planners to coordinate and streamline key processes across U.S. based congresses, including registration communications, asset and budget management, and data entry.
• Manage the congress allocation process with departmental points of contact and vendors using an internally bespoke platform.
• Lead development and maintenance of core team resources, including planning frameworks, playbooks, roadshow materials, congress overview slide decks, and best practices documentation, to support consistent, high-quality execution.
• Support the adoption and integration of new tools and technologies (including AI solutions) to improve team efficiency.
• Monitor and track deliverables, deadlines, and congress budgets, proactively identifying and resolving operational gaps, including invoice follow-up.
• Upload and maintain inventory of structural and graphic assets.
• Serve as a point of contact for operational questions and as a connector between planners and other functions.
• Provides post-event analysis, including event metrics
• May provide training to other groups/departments on functional policies/processes
