Required Education:

• High School Diploma or equivalent



Required Experience

• 2+ years of customer service, order processing, healthcare, insurance, medical device, or closely related experience

• Proficiency with Microsoft Outlook and Excel and ability to work across multiple systems simultaneously

• Experience working with email-based work queues and handling high-volume requests

• Strong attention to detail with the ability to accurately enter and maintain customer/order information

• Strong written and verbal communication skills with the ability to interact professionally with customers, clinical teams, field partners, and internal departments



Preferred Experience

• Experience processing purchase orders, customer requests, RMAs, returns, or other service-related transactions preferred



Overview (Customer Service / Order Processing Specialist)

We are seeking a Customer Service / Order Processing Specialist to support customer rental and purchase orders in a fast-paced, process-driven environment. The role will be responsible for entering and processing orders, coordinating with shipping and supply chain teams, resolving order issues, providing customer updates, and supporting returns, credits, inventory, and service-related requests. The ideal candidate is detail-oriented, organized, professional, and comfortable working with multiple systems and high-volume email and phone queues. Medical device or healthcare experience is preferred, but candidates from other customer service or order-processing environments will be considered.



Responsibilities

• Receive, review, and process customer rental and purchase orders according to established procedures

• Accurately enter orders into internal systems and route them to the appropriate shipping and supply chain teams

• Prepare shipping documentation, communicate waybill information, track shipments, and follow up on delayed or lost shipments

• Communicate with customers regarding order status, release dates, product availability, inventory, and required information

• Research and resolve order discrepancies, credit holds, training requirements, and other issues impacting order fulfillment

• Process and track returns, RMAs, credits, swaps, and billing corrections in accordance with company procedures

• Respond to customer product complaints, verify warranty eligibility, and coordinate replacements, loaner equipment, installations, or other resolutions

• Maintain accurate customer and contact information in ERP and CRM systems

• Support consignment inventory setup, audits, reporting, and discrepancy resolution with external customers

• Provide accurate support for the clinical procedure calendar and other service-related activities as needed

• Maintain knowledge of company products, regulatory requirements, and customer service processes

• Collaborate with clinical territory managers, field partners, supply chain, shipping, and internal teams to meet customer needs and resolve issues promptly
