Job Description
Duration: Project-based (Estimated 2–6 months).

Job Summary:

We are seeking an experienced Change Management Resource to support the Client Expenses Implementation, which includes the rollout of the PeopleSoft Expense module along with related policy and business process changes. This role will play a critical part in assessing project readiness, developing a stabilization and execution roadmap, and leading change execution activities to ensure campus-wide adoption and go-live readiness.

The engagement is structured in two phases: Assessment & Planning followed by Execution & Enablement, with progression to Phase 2 dependent on approval of Phase 1 deliverables.


Key Responsibilities:

Phase 1: Assessment, Strategy, and Planning (Months 1–2)

Conduct a readiness audit to assess current project status, delivery gaps, and stakeholder risks
Develop an integrated project management plan aligned with the technical timeline, including milestones, dependencies, and escalation paths
Partner with the existing change resource to maintain continuity of campus engagement during the planning phase
Lead development of a comprehensive communication and training strategy covering the PeopleSoft Expense module, policy enforcement, and business process updates
Perform stakeholder impact analysis and document start/stop/continue changes related to knowledge, skills, and behaviors
Create a detailed Phase 2 execution plan outlining outstanding tasks, content creation, training rollouts, and resource needs
Support shared maintenance operations, including:
Monthly campus communications
Bimonthly “Ask-Us-Anything” sessions
Identification of critical tasks required for immediate campus readiness


Phase 2: Execution and Enablement (Contingent on Phase 1 Approval)

Lead execution of the approved change management strategy to support technical and operational transitions
Draft and manage approval of clear, actionable communication content related to the Expense module, policies, and revised business processes
Develop training materials, including scripts, videos, and written documentation
Coordinate with the Digital Adoption Platform (DAP) team to integrate content and enable self-service learning
Establish and maintain a centralized Change Content Hub
Collaborate with PeopleSoft Analysts and the Accessibility Team to ensure system design minimizes user friction and meets accessibility standards
Produce finalized go-live impact reports for stakeholders at least one month prior to each phased go-live
Define and document a post-go-live “white glove” support model, including intake processes and escalation paths


Reporting & Collaboration:
Report directly to Project Leadership, ensuring alignment with decision-making, prioritization, and issue resolution
Operate in a shared-responsibility model with the existing change resource during Phase 1
Collaborate closely with:
Project Sponsors (Associate Vice Chancellor and Controller; Directors of Accounts Payable, Travel, and Financial Business Systems)
VCF Immediate Office for branding and communication alignment
Technical teams, including PeopleSoft Analysts and the Digital Adoption Platform team
Financial Planning and Analysis Trainer for training coordination and policy enforcement


Minimum Qualifications:
Minimum of 5 years of recent Change Management experience
Proven ability to deliver high-quality outcomes in complex, multi-stakeholder environments
Demonstrated success in enabling others to navigate and adopt technical changes

Skills:
Exceptional communication and diplomacy skills
Experience applying formal change management methodologies (e.g., Prosci), preferably within a Higher Education setting
Strong analytical skills to assess organizational readiness and identify risks and obstacles

Preferred Working Genius:

Tenacity: Strong drive to see tasks through to completion and meet defined project milestones
