Required Qualifications/Skills/Experience

• 5+ years in legal billing or relevant e-billing experience

• Understanding of end-to-end invoice lifecycle, including work in progress, invoicing, accounts payable, and accounts receivable

• Experience with SAP or Oracle in an ERP production environment

• Advanced skills in Microsoft Office suite, especially Excel and Outlook

• Excellent communication skills

• Superior ability to multitask and prioritize workload

• Self-motivator with a positive, professional disposition, including under pressure

• Ability to operate in a fast-paced business environment

• Willingness to learn new skills

• Strong analytical and problem-solving skills

Overview:

The Legal Billing Specialist will support the Corporate Law Department’s Legal & Finance Operations team by processing, auditing, and reviewing outside counsel invoices, researching and troubleshooting invoice issues, supporting vendor setup, maintaining work-in-progress records, monitoring time entry deadlines, and helping with training and process improvement. The role requires strong attention to detail, confidentiality, and comfort working in a fast-paced legal finance environment.



Job Duties

• Electronically review and route large volumes of invoices for approval in accordance with billing guidelines

• Approve, adjust, or reject invoices according to guidelines and provide guidance to attorneys on outstanding invoices

• Manage portfolio to minimize invoice aging by reviewing and reconciling aging reports monthly

• Liaise with outside counsel firms, in-house attorneys, and intercompany AP departments to ensure payments have been released timely

• Communicate with outside counsel to manage non-compliance with billing guidelines

• Collect monthly accruals from outside counsel and follow up with non-compliant firms

• Research, identify, and investigate open and unresolved items within SAP

• Assist with processing items outside of the billing system and coordinate manual invoice entry in SAP for payment

• Summarize outcomes, present information, and propose ideas to senior management

• Provide and participate in cross-training within the team

• Contribute to special projects such as ad hoc reports, system data clean-up, and process updates

• Collaborate with billing system vendors and PTP Vendor Setup Global Business department for law firm onboarding

• Aggregate and manipulate data in Excel to gather outside costs and assist in billing processes

• Actively participate in team meetings to identify issues and contribute to continual process improvement

• Support additional billing and finance responsibilities as workload allows



Specific Details to call attention to.

• Prior law firm experience is very helpful, but not required if the candidate has strong billing and Microsoft Office experience

• This role is centered on invoice review, approvals, and legal billing operations

• SAP or Oracle experience is a strong plus

• Excel proficiency is critical, especially filtering, pivot tables, and data manipulation

• Candidate should be comfortable communicating with outside counsel and senior management
