Job Requirements:
• Minimum of 3 years of customer service, dispatching, service coordination, or related administrative experience.
• Experience scheduling and coordinating service technicians, field personnel, or service-related activities.
• Strong customer service skills with the ability to professionally handle customer inquiries, complaints, and service requests.
• Proficiency with Microsoft Windows applications, including Outlook, Word, and Excel.
• Experience working with ERP, CRM, dispatching, or service management software; Oracle experience is a plus.
• Ability to accurately enter, track, and maintain service requests, work orders, and customer records.
• Knowledge of invoicing processes, billing procedures, and accounts receivable verification.
• Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
• Excellent verbal and written communication skills with a customer-focused mindset.
• Ability to prioritize and reassign work based on changing business needs, technician availability, and customer requirements.
• Strong attention to detail and commitment to accuracy in documentation and data entry.
• Experience coordinating inventory, parts ordering, purchasing, or logistics activities preferred.
• Ability to work independently while collaborating effectively with internal teams, technicians, and service centers.
• Demonstrated problem-solving skills and sound judgment when resolving customer and operational issues.
• Ability to maintain confidentiality of customer, company, and business information.
• High energy level, strong sense of urgency, and a commitment to delivering exceptional customer service.
• Ability to work effectively in a fast-paced environment while meeting service and invoicing deadlines.

Job Summary
• Serve as the primary point of contact for customers requesting service, inspections, and technical support.
• Coordinate and dispatch service calls by scheduling technicians and managing service requests from initiation through completion.
• Maintain regular communication with customers regarding service status, scheduling updates, and issue resolution.
• Prioritize, assign, and reassign service work based on technician availability, workload demands, and customer needs.
• Process service documentation, validate completed work orders, and ensure timely invoicing of service calls.
• Support accounts receivable activities by reviewing and verifying service-related billing information.
• Collaborate with internal service teams and external service resource centers to ensure efficient service delivery.
• Handle customer concerns professionally, escalating issues when necessary to ensure customer satisfaction.
• Manage inventory, parts ordering, and logistics coordination to support service operations.
• Maintain accurate records and documentation within service management systems while ensuring confidentiality of customer and company information.
• Contribute to the overall success of the Service Department through strong organizational skills, attention to detail, and a customer-focused approach.
• Ensure service calls are completed, documented, and invoiced within established company timelines and performance standards.
