Required Qualifications:

• Strong administrative and organizational skills

• Ability to accurately process and maintain paperwork, records, and databases

• Experience handling financial documents, payments, cash, or reconciliations

• Strong attention to detail with the ability to investigate and resolve discrepancies

• Ability to work effectively with drivers, supervisors, management, and cross-functional teams

• Strong communication, interpersonal, and customer-service skills

• Ability to maintain confidentiality and handle sensitive information professionally

• Proficiency with standard Microsoft Office applications and data-entry systems

• Ability to prioritize multiple tasks and meet deadlines in a fast-paced distribution environment



Preferred Qualifications:

• Experience in a distribution center, logistics, transportation, warehouse, or similar environment

• Experience processing proof of delivery documentation

• Experience with accounts payable, cash reconciliation, deposits, or route settlements

• Experience supporting employee engagement activities and facility events

• Familiarity with audit controls, records retention, and compliance procedures



Job Summary:

The Distribution Center Administrative Assistant is responsible for providing administrative support to the designated management team and assisting with daily distribution center operations. This role will process driver paperwork, investigate inventory and monetary discrepancies, support accounts payable and route settlement activities, maintain records for internal audit controls, and assist with employee engagement initiatives. The successful candidate must be highly organized, flexible, proactive, resourceful, and efficient, with a strong commitment to professionalism, confidentiality, accuracy, and compliance.



Key Responsibilities:

1. Administrative Duties

• Process and maintain driver paperwork

• Investigate errors related to inventory and money and partner with drivers and driver supervisors to resolve discrepancies

• Maintain files and documentation required for internal audit controls and records retention

• Complete end-of-month administrative procedures



2. Accounts Payable

• Process proof-of-delivery paperwork

• Maintain a database of delivery documentation to ensure timely payment

• Manage customer mail check requests and perform required validation

• Conduct and track Non-Sufficient Funds (NSF) reviews



3. Settlement

• Process proof-of-delivery paperwork and maintain related records

• Count and balance monies received from drivers for submission of daily deposits

• Count and process up to eight full-service routes per day

• Ensure settlement-related documentation is accurate and completed on time



4. Employee Engagement

• Assist with facility activities and employee engagement initiatives

• Prepare and distribute promotional apparel for employees

• Host employees for meals and meetings

• Set up meeting spaces and coordinate events for functional partners, including job fairs and holiday parties



5. Ad Hoc Support

• Provide PTO relief and operational support for peers as needed

• Adhere to Federal, State, and Local regulations, company policies, and safety guidelines

• Perform other duties as assigned based on business needs or at management's discretion
