Job Description
***Only qualified Administrative Coordinator candidates located in the Boston, MA area will be considered due to the position requiring an on-site presence***
Required Education:
• Bachelor’s degree
• An associate's degree or high school diploma or GED with equivalent experience may be substituted for a bachelor’s degree
Required Skills:
• Strong organizational and multitasking abilities
• Ability to communicate utilizing among other things cellular devices
• Proficient in Share Point, Microsoft Office, Excel, and Power Point
• Excellent communication and interpersonal skills
• Proficiency in office software and equipment
• Problem-solving and customer service experience
• Attention to detail, accuracy, and professionalism
• One to three years of administrative and/or customer service experience
Job Responsibilities:
• Serve as the primary point of contact between client and the DPU regarding scheduling OTIP observations
• Receive communications from the DPU both daily and weekly to schedule OTIP observations throughout the transit rail system
• Receive communications from and schedule FTA observations of OTIP surveys
• Communicate requested observations with appropriate MBTA departments both internal and external to Safety
• Maintain an electronic log of OTIP observations
• Routinely coordinate communications between all parties involved in the OTIP observation process
• Answer questions and attempt to trouble shoot any OTIP observation concerns identified
• Escalate concerns related to OTIP observations from Safet
• Prepare reports as requested related OTIP observations
• Maintain all client Safety Documentation files related to OTIP observations
• Prepare reports related to DPU and FTA OTIP observations when requested
• Represent client Safety Documentation as assigned at meetings related to OTIP, DPU, and FTA observations
• Attend Safety Documentation Department meetings
• Handle other Safety Documentation administrative duties as assigned time permitting - **Only those lawfully authorized to work in the designated country associated with the position will be considered.**
