Education:
• High school diploma or equivalent.
Required Qualifications
• Previous administrative, clerical, mailroom, or office support experience preferred.
• Strong attention to detail and organizational skills.
• Ability to manage multiple tasks and meet deadlines.
• Comfortable working independently and as part of a team.
• Strong written and verbal communication skills.
Required Software Skills
• Microsoft Excel (data entry, spreadsheet maintenance, sorting/filtering)
• Microsoft Word (document creation and editing)
• Microsoft Outlook (email and calendar functions)
Preferred Qualifications
• Experience working in a healthcare, medical office, insurance, or clinical support environment.
• Familiarity with document management systems.
• Experience handling confidential information and records.
Position Overview
We are seeking a detail-oriented Assistant Clinical Administrative Coordinator to support daily administrative and mailroom operations within a healthcare environment. This role is ideal for candidates with strong organizational skills, data entry experience, and the ability to manage high-volume document processing in a fast-paced setting.
The successful candidate will play a key role in supporting internal departments by handling incoming and outgoing mail, preparing provider payments for distribution, maintaining records, and performing general administrative duties.
Key Responsibilities
• Receive, open, sort, and distribute incoming mail to appropriate departments in a timely manner.
• Prepare and process outgoing mail, ensuring accuracy and compliance with company procedures.
• Print, assemble, and distribute operational documents, reports, correspondence, and other materials as needed.
• Prepare and mail provider payment checks approximately four times per week.
• Maintain detailed mailing logs and tracking spreadsheets.
• Perform accurate data entry and update internal records and databases.
• Operate office equipment including photocopiers, mail machines, folding machines, inserting machines, and high-volume printers.
• Conduct quality checks on documents and mailings to ensure completeness and accuracy.
• Organize, file, and maintain administrative records and documentation.
• Assist internal departments with administrative requests and special projects.
• Monitor office supply inventory related to mailroom and document production functions.
• Maintain confidentiality and follow company policies regarding sensitive information.
Physical Requirements
• Ability to stand, walk, bend, and lift mail trays, paper supplies, and document boxes as needed.
• Ability to perform repetitive administrative and document-processing tasks throughout the workday.
