Job Description

Required Education:
•High School Diploma or equivalent

Required Qualifications/Skills/Experience:
• Strong customer service and front-desk reception experience
• Office administration and facilities coordination experience
• Proficiency in Microsoft Office tools (especially Excel and PowerPoint)

Admin Asst IV Duties:
• Serve as the primary point of contact at the front desk/lobby; greet all visitors and manage sign-ins in accordance with Physical Security Policy.
• Uphold corporate image and professional reception standards at all times.
• Maintain a clean, safe, and organized reception and workplace environment.
• Deliver exceptional face-to-face customer service to all visitors and employees.
• Coordinate booking of meeting rooms and catering requests with accuracy and efficiency.
• Manage the enquiries inbox and ensure prompt and professional responses.
• Report building, equipment, and maintenance issues to relevant stakeholders without delay.
• Maintain and update catering and meeting calendars to support business needs.
• Understand the company structure and share relevant information with colleagues when necessary.
• Support access card issuance and basic onboarding activities for new hires.
• Monitor and replenish inventory of stationery, batteries, and kitchen consumables.
• Work closely with key suppliers and contractors to support office maintenance and supplies.
• Ensure all reception and administrative functions comply with legal and regulatory requirements.
• Utilize intermediate Excel and PowerPoint skills to support data collection and reporting (Sustainability, Office Utilization, Department Metrics.
