Education:
• High School Diploma or GED with 3 years of relevant field or administrative experience
OR
• Associate’s or Bachelor’s degree with 1 year of relevant experience in administrative support, office management, construction, project coordination, or customer service
Minimum Requirements
• Utility experience preferred but not required
• Proficiency with Microsoft Office applications (Excel required)
• Familiarity with work management and database systems
• Valid driver’s license
Essential Responsibilities
Field Work & Operations Support
• Process and complete job closeout for work packets across multiple systems.
• Monitor job closure requirements and ensure all documentation is accurate and complete.
• Analyze reports to verify labor and equipment charges for work, job, trouble, and miscellaneous orders.
• Assign field crew work using Mobile Workforce Management (MWM) systems.
• Monitor yearly meter exchanges and track compliance-related work.
Time & Expense Reporting
• Manage payroll and time entry systems for union and non-union employees.
• Review time reports and expense submissions to ensure accuracy and policy compliance.
• Maintain proficiency in required timekeeping and reporting systems.
Office Management & Customer Service
• Provide phone and email support to field crews, internal partners, and customers.
• Coordinate individual and group meetings and arrange travel as needed.
• Schedule calendars for management staff.
• Greet and direct visitors; serve as on-site contact for contractors and vendors.
• Order office supplies, manage mail, and maintain office equipment.
Data Entry & Records Management
• Perform data entry, copying, and distribution of drawings and forms.
• Maintain filing systems, record retention, archiving, and document storage.
• Support KPI tracking and reporting activities.
Compliance & Safety Support
• Assist with internal audits and compliance reporting related to Finance, Engineering, and Field Operations.
• Support tracking of safety training completion and equipment verification.
• Order and manage safety supplies and assist with safety meetings and training events.
Emergency Support
• Provide administrative assistance during emergency operations as required.
Position Summary
The Administrative Assistant provides essential operational and administrative support to Field Operations. This standard operations role supports daily business functions by processing work orders, managing payroll and time entry systems, maintaining data accuracy across systems, and delivering customer service and office management support. The position plays a key role in ensuring data integrity, compliance, and efficient operational workflows. - **Only those lawfully authorized to work in the designated country associated with the position will be considered.**
