Job Description
Only qualified Administrative Assistant candidates located near the San Antonio TX area to be considered due to the position requiring an onsite presence 4 days in office and 1 day remote



Required Education:

• High school diploma, plus 2 years of relevant data analysis experience



Preferred Education

• Associates or Bachelor's Degree



Required Skills and Experience:

• Experience supporting administrative data reporting or business operations functions

• Experience handling high-volume data validation, reconciliation, and documentation review

• Experience working with invoice systems, downloads, and multiple file formats

• Ability to support stakeholders across multiple time zones

• Experience with Microsoft Office

• Ability to work independently and appropriately escalate issues when needed

• Basic Excel skills, including data entry, formatting, sorting, filtering and simple formulas

• Ability to work with flat file systems, downloads, and large data sets

• Ability to research, extract, and validate transaction data

• Strong data entry and documentation accuracy skills

• Strong attention to detail

• Strong written and verbal communication skills

• Self-motivated and accountable

• Ability to manage priorities and deadlines

• Ability to work with cross functional teams

• Strong interpersonal skills

• Experience identifying process gaps and recommending improvements preferred

Responsibilities:

• Identify extract and research invoices and supporting documentation

• Validate transaction details and collaborate with stakeholders for clarification

• Format and prepare data for upload into reporting tools

• Perform high volume data validation and reconciliation activities

• Support transparency reporting and operational processes

• Track and manage third party vendor spend activities

• Assist with cross functional certification activities

• Identify gaps in business processes systems and data controls

• Provide recommendations for process improvements

• Support teams across multiple time zones and meeting schedules



Physical Demands:

• Ability to work extended hours occasionally based on global meeting schedules

• Ability to maintain productivity in both onsite and remote work settings

• Prolonged computer and data entry work required
