• Ability to become an Associated Person with FINRA

Job Summary
The Team Lead Assistant provides administrative and operational support to Agency Team Leads within the Field Supervision organization. This role is responsible for assisting with supervisory and compliance-related activities, maintaining accurate records, tracking documentation requirements, and ensuring timely completion of regulatory and internal processes.
The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities while maintaining accuracy. Success in this role requires strong communication skills, proactive follow-up, and the ability to work effectively with agents, management teams, and internal business partners.
Job Duties
Administrative & Compliance Support
• Assist Agency Team Leads with supervisory and administrative responsibilities
• Monitor and track compliance-related activities and deadlines
• Ensure documentation is complete and maintained according to company requirements
• Support end-of-year compliance processes and reporting requirements
File & Documentation Management
• Maintain and update agent and management supervisory files
• Review records for completeness and accuracy
• Follow up with agents and management teams to obtain missing documentation
• Ensure documentation is properly stored and maintained
Follow-Up & Tracking Activities
• Follow up with agents and General Office management teams regarding outstanding requirements
• Assist with timely resolution of supervisory interview deficiencies
• Monitor and track compliance completion status
• Escalate outstanding issues when appropriate
Seminar & Event Administration
• Track seminar completion records
• Maintain seminar logs and documentation
• Ensure supporting documentation is collected and retained
• Monitor compliance with seminar-related requirements
Signature & Approval Tracking
• Track supervisory interview signatures and approvals
• Coordinate with agents, management teams, and internal departments to obtain required signatures
• Ensure signatures are collected within required timelines
• Maintain records of completed approvals
Reporting & Data Management
• Maintain accurate records within CRM and tracking systems
• Update databases and compliance logs
• Generate reports as requested by leadership
• Assist with data validation and reconciliation activities
Cross-Functional Collaboration
• Partner with:
o Agency Team Leads
o Management teams
o Agency Standards teams
o Agents and advisors
• Communicate status updates and issues in a professional and timely manner
