Job Description

Required Education:
• Bachelor’s Degree or
• High School Diploma with 2 years of administrative experience, 2 years of Microsoft Office Suite Experience, and 2 years of database software experience

Required Skills, Experience, and Knowledge:
• Proficiency in various information technology applications such as email, database, spreadsheets, and word processing applications (including Microsoft Office Suite and Oracle PeopleSoft)
• Familiarity with virtual meeting platforms (Webex, Teams, Adobe Connect, etc.)

Job Responsibilities:

Information Technology and Data Management
• Uses various information technology applications such as email, databases, spreadsheets, and word processing software, including Microsoft Office Suite and Oracle PeopleSoft
• Composes, types, and distributes correspondence and reports. Sets up and manages paper and electronic filing systems
• Creates, maintains, and enters information into spreadsheets and databases, including SLMS, DFS Designations, and Fed Provider
• Updates SLMS and Fed Provider databases as enrollment changes occur, including finding replacements for classes, informing Federal Providers of schedule or enrollment changes, and tracking, collecting, and recording certificates or attestations for completed classes in SLMS
• Creates and maintains SLMS courses and classes for Fed Provider and NAIC, maintains records for these courses, and tracks, collects, and records certificates or attestations for completed classes

Customer Service and Front Desk Support
• Answers telephone calls, provides information to callers, takes messages, and transfers calls to appropriate individuals
• Greets visitors or callers, handles their inquiries, or directs them to the appropriate personnel. Enters visitor information into the building security system

Office Equipment and Operations
• Operates office equipment such as printers, scanners, and copiers, and arranges for repairs when equipment malfunctions
Mail and Correspondence Management
• Manages Training Unit correspondence and mail by opening, reading, routing, and distributing incoming mail and other materials, and responding to routine inquiries
• Mails various items, including letters, reports, and training materials, prepares packages, and arranges for shipment
• Completes forms in accordance with agency procedures and locates and attaches appropriate files
• Makes copies of documents, files them appropriately, and distributes them to relevant staff

Shared Email and Scheduling Management
• Manages the Training Unit shared email accounts by handling inquiries from staff or forwarding them to program managers, locating and attaching appropriate files to correspondence requiring replies, and filing completed inquiries
• Schedules and confirms appointments for clients, customers, or supervisors
• Creates and maintains SLMS records for learning events and provides staff with certificates as needed

Training Resources and Room Coordination
• Manages training resources, including rooms and equipment
• Coordinates training room requests with Office Services and the IT Helpdesk
• Communicates with Office Services and IT Helpdesk to ensure room resources and technology are functioning properly and submits requests for maintenance or assistance when necessary

Research and Team Participation
• Searches for information using various sources, including the internet
• Participates in projects and contributes to committees or teamwork initiatives

Additional Responsibilities
• Performs other duties as assigned
