Required Education:

Required Skills and Experience:

• Strong computer skills and experience using Microsoft Office Programs, including Outlook, Word and SharePoint are necessary for monitoring the bureau mail log, scheduling meetings, maintaining calendars and managing faxes

• Experience working in an office environment performing administrative and clerical duties

• Preparing written correspondence such as letters, labels, and information folders

• Supporting program activities and training through document preparation

• Handling phone operations including answering calls and arranging conference calls

• Processing incoming and outgoing mail and preparing bulk mailings

• Assisting program staff with general administrative support tasks

• Data entry experience including entering, updating, and maintaining databases

• Working with documents and spreadsheet information accurately

• Reviewing and supporting operational materials

• Strong computer skills for daily administrative tasks

• Proficiency in Microsoft Office applications including Outlook, Word, and SharePoint

• Experience using tools for scheduling meetings, managing calendars, and handling fax communications

• Strong communication skills for interacting with staff and the public

• Good organizational and time management abilities

• Reliability and consistency in work schedule due to phone coverage responsibilities

• Professional behavior in a public-facing administrative role



Preferred Skills and Experience:

• Experience working in government or bureau-type administrative settings

• Prior experience in administrative support roles

• Experience in high-volume office environments handling mail, calls, and scheduling

• Familiarity with structured office systems such as mail logs or internal tracking tools



This Administrative Assistant position will be required to perform daily administrative and clerical functions such as preparing letters, labels, and information folders for program activities and training. Data entry functions would include entering and updating information into program databases and assisting with review of operations materials. Other duties include answering bureau phones, arranging conference calls, processing mail, along with preparing large mailings and aiding program staff.

• Responsible for monitoring a bureau mail log (BML), scheduling meetings, maintaining calendars and managing faxes

• Responsible for data entry functions including entering, updating and maintaining databases, documents and spreadsheet information

• Daily administrative assignments require strong computer skills and experience using Microsoft Office programs, including Outlook, Word and SharePoint

• Experience working in an office setting requiring a combination of strong communication, organization and time management skills
