• Associate’s degree in Office Administration or in a business-related field
Required Qualifications/Skills/Experience:
• Prior working experience as an Administrative Assistant or Coordinator.
• Strong organizational skills with high attention to detail and effective time management
• Ability to manage multiple priorities from multiple sources
• Strong leadership and communication skills
• Solid foundation working with standard office software and equipment
• High proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook
• Advanced skills in Microsoft Excel including formulas and pivot tables
• Ability to create and deliver presentations
• Ability to handle sensitive and confidential information appropriately
Administrative Assistant Overview:
• The Administrative Coordinator is responsible for supporting daily activities that enable effective plant operations
• This role requires the ability to work independently and collaboratively within a team environment
• The Administrative Coordinator must be flexible, adaptable to change, and able to respond quickly and effectively under pressure
• The position operates in a fast-paced, demanding environment and supports multiple functional areas across the site
• Strong organizational, communication, and interpersonal skills are essential to manage competing priorities from multiple sources
• The role serves as a key point of contact for employees, contractors, vendors, and visitors
• The Administrative Coordinator actively supports safety initiatives, administrative processes, recordkeeping, and office operations
Job Duties:
• Manage and coordinate site-wide meetings and luncheons
• Manage office operations including postings, communication records, mail distribution, and contact information
• Process and maintain 5S records including audit tracking and performance monitoring
• Support contractor orientation, safety training, and retention of associated records
• Maintain key card systems and submit monthly reports including SHE hours, headcount, and waste
• Actively participate in the Safety Team and follow all safety rules, including wearing required PPE such as hard hats, safety glasses, and steel-toe shoes when required
• Process invoices, support goods receipts for non-inventory items, and assist with contractor and vendor management
• Support recordkeeping requirements related to asset inventory and engineering records
• Ensure visitor and incident management supplies are accounted for during emergencies
• Manage the front reception area and serve as the first point of contact for employees, contractors, vendors, and visitors
• Maintain office supplies and order inventory as needed
• Maintain key inventory, weekly manpower sheets, and the telephone directory
• Organize site visits for the Grainger boot truck
• Perform additional responsibilities as assigned
