Required Education
• High School Diploma or GED required

• Bachelor's degree in Business Administration, Communications, Public Relations, Marketing, Entertainment Management, or related discipline

Required Experience
• 1 to 2 years of Administrative Assistant experience
• Experience managing calendars, scheduling meetings, coordinating travel, and handling expense reports
• Experience supporting executives, managers, or senior-level staff
• Experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Preferred Experience
• Music, entertainment, media, record label, talent agency, or public relations industry experience
• Experience supporting an Executive Assistant or executive-level leader
• Experience coordinating events, guest lists, artist interviews, or media relations activities
• Experience processing invoices, managing budgets, and vendor setup

Key Responsibilities
• Support an Executive Assistant with daily administrative operations
• Receive, screen, and route incoming calls
• Manage and maintain executive and department calendars
• Coordinate travel arrangements and prepare complete travel packets including confirmations and itineraries
• Ensure travel details are accurately reflected in calendars
• Organize and submit expense reports
• Manage quarterly department budgets, process invoices, and coordinate vendor setup
• Connect and coordinate artist phone interviews
• Organize and manage Republic Grammy submission materials and artist communications
• Assist in creating and organizing press materials, including artist bios, press reports, press kits, media alerts, press releases, event invitations, press photos, and artwork
• Maintain department calendars and documents related to media events, TV schedules, and artist activities
• Research, compile, and distribute media alerts and press coverage updates companywide
• Update and maintain media contact databases
• Coordinate guest lists for artist events, shows, and industry functions
• Support regional media outreach efforts for artists on tour as directed
• Maintain organized records, files, and departmental documentation
• Provide administrative support in a fast-paced entertainment environment while maintaining professionalism and confidentiality.
