Job Description
About the Role

• We are seeking an experienced Administrative Assistant IV to provide high-level administrative support to the Franchise Team supporting client operations.

• This team works closely with project managers and planners to support relocation projects, new business initiatives, and municipal work across the San Diego region.

• This is a fast-paced, collaborative role ideal for someone who is highly organized, detail-oriented, and comfortable managing multiple priorities.



Key Responsibilities

• Provide administrative support to project managers, planners, and cross-functional teams

• Manage calendars, schedule meetings, and coordinate team activities

• Distribute projects and workload across internal teams (construction, planning, etc.)

• Package and prepare work orders for project execution

• Support billing-related activities, including handling refunds and managing customer accounts

• Maintain and update records in SAP/S4 systems

• Prepare reports, documents, and presentations using Microsoft Office

• Handle communication including emails, phone calls, and internal coordination

• Support special projects and team initiatives as needed



Required Qualifications

• 4+ years of administrative experience in a professional environment

• Strong organizational and multitasking abilities

• Excellent communication and interpersonal skills

• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

• Experience with SAP and/or S4 systems

• High attention to detail and ability to manage multiple priorities



Preferred Qualifications

• Previous experience as a Program Analyst, Project Coordinator, or similar role

• Background supporting billing, accounting, or financial operations

• Experience working in utilities, construction, or project-based environments
