Required Qualifications/Skills/Experience:

• 2–3 years of experience in healthcare administration and executive-level support

• Strong communication skills (written and verbal)

• Excellent organizational and time management skills

• Experience working in healthcare environments (HIPAA knowledge, clinical staff collaboration)

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

• Experience supporting executive leadership and managing multiple priorities



Overview:

• 100% onsite position at Downey Medical Center

• Parking available onsite

• This is not an entry-level role; requires experience supporting executive staff and hospital leadership

Job Summary:

• Provides complex administrative support and project coordination for department heads, managers, and staff

• This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced healthcare environment



Job Responsibilities:

• Provide administrative support to department leadership and staff

• Answer phones, screen calls, take messages, and route appropriately

• Greet internal and external visitors and vendors

• Monitor and respond to routine email inquiries as needed

• Manage multiple calendars, schedule meetings, and coordinate appointments

• Coordinate and support projects, including preparing proposals and updating documents

• Assist with policy and procedure updates, including formatting and stakeholder coordination

• Plan and coordinate meetings and special events

• Maintain accurate documentation and ensure compliance with organizational standards
