Required Qualifications / Skills / Experience

• 3–5 years of administrative support experience, preferably supporting Director/Executive-level leaders.

• Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams).

• Experience with badge creation or access management systems.

• Excellent written and verbal communication skills.

• Strong organizational and time-management skills.

• Ability to multitask while maintaining strong attention to detail.

• High level of professionalism, discretion, and confidentiality.

• Ability to stand for extended periods.

• Ability to occasionally lift up to 50 pounds.



Preferred Qualifications / Skills / Experience

• Experience in a manufacturing, operations, or industrial environment.

• Familiarity with procurement systems (Ariba, SAP).

• Experience supporting cross-functional leadership teams.

• Working knowledge of Lean or continuous improvement tools (5S, Kaizen).

• Experience with expense and travel platforms (Concur).



Administrative Assistant – Manufacturing Operations Overview

The Administrative Assistant provides high-level administrative and operational support to the Director of Operations and the manufacturing leadership team. This role ensures efficient plant operations through calendar management, communication coordination, meeting support, financial tracking, and site-wide event execution. The ideal candidate thrives in a fast-paced plant environment and demonstrates professionalism, safety awareness, and strong organizational capability.



Job Duties

Administrative & Office Support

• Provide administrative support with minimal supervision.

• Serve as primary contact for internal and external inquiries.

• Manage Site Director’s calendar, correspondence, and documentation.

• Prepare meeting agendas, capture minutes, and track action items.

• Coordinate business travel and process expense reports.

• Perform clerical duties including filing, document preparation, and data entry.

• Provide front-office coverage, visitor coordination, and badge issuance.

Operational & Financial Support

• Prepare reports, presentations, and documentation

• Monitor departmental budget spend

• Prepare and approve requisitions and invoices

• Manage purchasing requests and vendor coordination

• Coordinate site tours, audits, and leadership visits

Event & Engagement Coordination

• Plan and support business-critical events (town halls, kaizen/5S events, trainings)

• Coordinate logistics, travel, catering, and materials

• Support employee engagement and recognition initiatives

Site Logistics Support

• Coordinate receiving and shipping of mail and packages

• Maintain office supply inventory

• Partner with HR on onboarding activities (badges, workstation readiness, orientation schedules).



Specific Details to Call Attention To

• 100% onsite role in a manufacturing/plant environment.

• Executive-level administrative support required.

• Must be comfortable in a physically active role (standing, lifting).

• Strong emphasis on confidentiality, professionalism, and safety awareness.

• Exposure to Lean / 5S environments preferred.
