The Administrative Assistant provides administrative and operational support to our Client's Access to Information (ATI) Operations team. This role is responsible for coordinating ATI requests, maintaining accurate records, preparing correspondence, processing payments, and supporting the timely administration of information access requests in accordance with legislative requirements, established procedures, and service standards



Job Duties:

• Monitor and process ATI requests received through the ATI Public Portal and hard copy submissions

• Prepare and review correspondence, including acknowledgment letters, requests for additional information, fee notifications, and closure letters

• Verify request details, application fees, and supporting documentation before forwarding requests for processing

• Providing GPAS link to applicants for payment of the application fee, if not received during application submission, and additional fees as determined by the advisor

• Coordinate with the ATI Coordinator to assign requests to the appropriate ATI Advisor

• Create and maintain electronic files and documentation for all ATI requests

• Initiate, monitor, and follow up on record searches with program area representatives to ensure legislated timelines are met

• Issue request closure letters when no responsive records are identified and maintain complete electronic case files

• Assist ATI Advisors by converting documents to PDF format and uploading records for redaction

• Process application fees, additional payments, deposits, and refunds, and maintain accurate financial records in accordance with applicable financial policies

• Respond to general inquiries regarding the ATI process, legislation, and timelines, referring complex matters to appropriate staff as required

• Receive, review, and distribute incoming correspondence and send applicant packages when electronic delivery is not available

• Maintain accurate inventories of ATI requests and shared records for records management purposes

• Perform general administrative duties, participate in cross-training, and provide additional team support as required
