Job Description
Required Education:
• High School Diploma/GED

Preferred Education:
• Relevant post-secondary education in the area of office administration. Acceptable education includes degrees, diplomas, and certificates (in years)

Required Skills:
• Experience with managing data, maintaining trackers, and running basic reports (1 Year)
• Experience using Microsoft Outlook for email messaging, task and calendar tracking, and other relevant, efficient features (2 Years)

Preferred Skills:
• Experience providing client or stakeholder support via email and telephone (1 Year)
• Knowledge of SharePoint online, including working with spreadsheets accessed simultaneously by multiple users while still being able to add, modify, and filter (1 Year)
• Relevant experience in a role similar to this. Experience must apply to this role (1 Year)

The Administrative Support position provides frontline administrative and coordination support for the annual statistics submission process. This role serves as a key point of contact for public bodies, ensuring accurate information, timely follow-up, and reliable reporting throughout the submission cycle. The position requires strong attention to detail, clear communication skills, and the ability to manage multiple tasks while maintaining accurate records

Job Duties:
• Monitor and respond to email inquiries related to the annual statistics submission process in a timely, professional, and service-oriented manner.
• Provide clear guidance and support to public bodies on submission requirements, timelines, and technical issues
• Escalate complex or unresolved issues to the appropriate internal contacts when required
• Contact public bodies to confirm, update, and maintain accurate organizational and contact information
• Update reporting agent accounts, including adding, modifying, or deactivating access as required
• Reset passwords and provide basic support related to system access and login issues
• Run completion statistics and summary reports
• Provide regular completion status updates to internal stakeholders and leadership as requested.
• Track and document public body changes, including new public bodies, name changes, and removals
• Ensure all updates are accurately reflected in tracking tools, systems, and documentation
• Maintain spreadsheets, trackers, and records to support the annual statistics process
• Review submissions for completeness and follow up with public bodies on missing information
