Job Description
Required Skills, Knowledge, and Experience:
• Knowledge of medical terminology, HIPAA regulations, and healthcare documentation standards
• Strong organizational skills and attention to detail
• Ability to work efficiently in a fast-paced, multidisciplinary rehabilitation environment
• Excellent communication and customer service skills

Preferred Skills, Knowledge, and Experience:
• Prior experience working with electronic health record systems
• Experience in a rehabilitation, outpatient, or workers’ compensation setting
• Familiarity with release-of-information processes and Rhode Island medical record regulations

Medical Records Technician Job Responsibilities:
• Organize, review, and update patient charts and electronic health records (EHR) to ensure accuracy, completeness, and compliance with standards
• Manage internal and external requests for medical records, ensuring all releases comply with HIPAA, Rhode Island Workers’ Compensation requirements, and policies
• Accurately enter patient demographics, treatment notes, and provider documentation into the EHR system
• Audit records for missing, incomplete, or inconsistent information and follow up with clinical staff as needed to maintain high-quality documentation
• Retrieve, file, and archive patient records in accordance with organizational retention schedules and regulatory guidelines
• Verify authorizations, prepare records for release, and document all disclosures in compliance with privacy regulations
• Assist PCCs, Behavioral Health, PT/OT, Vocational Services, and administrative staff by providing timely access to patient information needed for treatment planning, discharge coordination, and case management
• Maintain strict confidentiality of all patient information and adhere to HIPAA, state regulations, and policies at all times
