Required Qualifications / Skills / Experience:

•2 years of experience working in a hospital or community setting

•Proficiency with MS Office Suite

•Must pass a DOJ LiveScan background check, including fingerprinting, prior to start

Overview:

This role provides day-to-day administrative and operational support to maintain reliable Center operations and a welcoming, professional experience for children, families, staff, partners, and visitors. The worker will spend more than 50 percent of their time in a patient access building and may travel occasionally, approximately 5 percent of the time, for offsite meetings and events.



Job Summary:

The Center Administrative Support role provides front office coverage, scheduling support, and administrative assistance to support a busy healthcare and community program environment. This position balances professionalism with warmth when interacting with clients, children, and staff, and plays a key role in daily Center operations.



Job Responsibilities:

•Provides telephone and front-office coverage using established systems of record such as Health Connect, assists visitors and families, routes questions appropriately, and maintains confidentiality and professionalism

•Assists with scheduling, confirmations, rescheduling, and routine calendar coordination, escalating unusual or unresolved issues as appropriate

•Performs data entry, filing, scanning, copying, document preparation, and maintenance of routine logs, spreadsheets, and records

•Supports counseling, educational therapy, preschool, youth, and community programming through materials, records, space coordination, and other assigned logistics

•Communicates accurate information to staff, clients, and families, and coordinates routine needs across administrative and program teams

•Supports meeting and conference room needs, supplies, shared spaces, special events, and coverage during high-volume periods or staff absences

•Receives and checks in patients, helps patients find their way, and charts information as needed

•Follows up with patients regarding appointments and relays messages to providers via established Health Connect or departmental procedures
