Job Summary
We are seeking a detail-oriented Chart Processing Specialist to join our team. In this role, you will be responsible for receiving, organizing, processing, and delivering medical records while ensuring accuracy, confidentiality, and compliance with healthcare regulations. You will also provide administrative and mailroom support to help maintain efficient day-to-day office operations.
The ideal candidate is highly organized, comfortable working with sensitive medical information, and enjoys working in a collaborative, fast-paced environment.
Key Responsibilities
Medical Chart Processing
• Receive, organize, and process incoming medical records.
• Verify patient information and maintain accurate record-keeping.
• Archive completed medical records according to company procedures.
• Ensure medical charts comply with applicable regulations and internal standards.
• Conduct weekly quality audits to verify record accuracy and completeness.
• Process medical records using various electronic methods, including SFTP.
• Maintain confidentiality of Protected Health Information (PHI) and Personally Identifiable Information (PII).
Mailroom Operations
• Receive, sort, and distribute incoming mail and packages.
• Prepare outgoing mail, boxes, and shipments for delivery.
• Maintain accurate records of incoming and outgoing mail.
• Assist with general mailroom operations and related tasks.
• Maintain mailroom equipment and supplies.
Administrative Support
• Maintain organized filing systems and document storage.
• Monitor the organization and cleanliness of physical medical record storage areas.
• Contact healthcare providers by phone to verify shipment information or obtain passwords and access credentials.
• Support additional administrative functions as assigned.
Team Collaboration
• Partner with various departments to support business operations.
• Adapt to changing priorities and additional responsibilities.
• Build positive working relationships with internal teams.
• Continuously learn new technologies and processes to improve efficiency.
Physical Requirements
• Ability to lift and carry boxes of medical records weighing up to 50 pounds.
• Ability to work in an environment containing confidential PHI and PII.
• Ability to remain in an office environment for the duration of the workday.
Work Environment
• 100% onsite office position.
